TRACES

What is TRACES?

TRACES stands for TDS Reconciliation Analysis and Correction Enabling System. It is an online website set up by the Income Tax Department of India. It helps taxpayers and tax deductors (like employers) manage Tax Deducted at Source (TDS) and Tax Collected at Source (TCS) easily.

Key Functionalities for Deductors in TRACES

  • Registration and Login: Deductors can create an account using their Tax Deduction Account Number (TAN) to access online tax services.
  • Add Sub-users for a TAN: Main administrators can add assistant users to manage tax tasks for the same company.
  • View Challan Status: Helps employers check if their tax payment receipts (challans) are updated in government records.
  • View Justification Reports: Shows detailed reasons for any tax defaults, interest charges, or late fee demands.
  • PAN Verification: Allows companies to check if employee Permanent Account Numbers (PAN) are valid before filing returns.
  • 197 Certificate Validation: Helps verify certificates issued by tax officers for lower or zero tax deductions.
  • Online Correction: Allows quick online changes to filed TDS returns without submitting paper forms.
  • Declaration for Non-Filing of Statement: Lets companies inform the department officially if they do not need to file returns for a specific period.
  • Download Form 16 / 16A / 27D / 16B: Deductors can download official tax certificates directly for employees and vendors.
  • Provide Feedback: Users can submit suggestions or report portal issues.
  • Download Forms: Provides easy access to standard blank tax forms and utility software.
  • Manage Profile: Keeps company contact details, address, and authorized person details up to date.
  • View Dashboard: Shows a clear summary of tax statements, defaults, and processing status in one place.
  • Refund Functionality: Allows deductors to apply online for excess TDS paid by mistake.
  • Request for Resolution: Helps users submit support tickets for unresolved tax query issues.
  • Declaration for Lower TDS Deduction: Allows deductors to register employee declarations for reduced tax rates.

Importance of TRACES for HR and Payroll

  • Ensures Tax Compliance: Helps employers follow income tax rules correctly and avoid legal penalties.
  • Improves Transparency: Provides clear visibility of tax payments between the company, employees, and the government.
  • Simplifies Payroll Processes: Makes issuing annual tax certificates like Form 16 smooth and accurate for the HR team.
  • Supports Audit Readiness: Keeps organised tax records ready for quick checking during internal or government audits.

Common Challenges in Using TRACES

  • Complex Interface: The user interface of the website may seem complicated.
  • Incorrect Data and Inconsistencies: Mismatched PAN details or incorrect salary information may trigger a default tax notice.
  • Time-Consuming Procedure: Manual uploading of data and slow response of the system may hold up monthly payroll operations.

How HR Technology Enhances TRACES Compliance

The latest enterprise HR software connects with the various TRACES modules seamlessly. The system automatically checks PAN details, ensures challan payment, and computes TDS accurately.
